How Do I Export Data Out of WinRed and Quick Import It Into ISP?
If you choose to import WinRed data manually via Quick Imports in ISP, it’s important to be sure you are capturing and exporting the right data in your WinRed account.
In WinRed, there are three different data imports you can select from.
Export of Donations: This export does NOT contain conduit/batch information so while this may provide donation data, it’s not the best export option for importing into ISP.
Export of Payouts: This can provide good info but it will be multiple files, as you will have to download each Payout one at a time. Again, we don’t recommend this one.
Export of Transactions: This is a more robust export, as it provides data on contributions, refunds, and expenses. We recommend using this option to pull data from your WinRed account.
Once you navigate to your desired export option, click the filter icon and filter the data you want to include in your export. Ideally, it would be wise to capture all data. However, if you choose to not include report disputes or other items, you can do so.
After you’ve created the desired filter, click Apply Filter and the page will refresh. Next, click Download. In order to actually retrieve the file, in your WinRed account navigate to Utilities, then to Data Export. In the list of generated reports, you should see the one you just created at the top. Click the green Download Ready button to export the data for import into ISP.
What is the difference between the automatic integration and Quick Imports for my WinRed data?
Simply
put, the Quick Import tool is often faster to work with when you have
large amounts of data. However, the Integration tool allows for
real-time information to come in rather than having to upload batches on
a regular basis. We have a separate help file for installing the WinRed integration.
Quick Import Method
You
can use Quick Imports to get your WinRed data in quickly. If you have
not used it before, please contact Support and ask to install the import
option in your database.
Once installed, go to the Quick Imports
page under Tools, then select the WinRed option in the Format dropdown.
On the right side of the screen, in the About section, it will explain
which fields on your spreadsheet are required and which are optional.
You’ll
also see a checkbox for Import as Conduit – Conduit Check Splits. When
this box is checked, it will create a single transaction from WinRed on
the Record Deposit screen with the entities as Splits. Each individual
contribution that makes up that Conduit Check will have their own dates
matching the data file.
If you have Agency fees as well as WinRed
credit card transaction fees, both are taken out of the check you
receive from WinRed. As a result, you will need to have two expenses
added to the Batch Deposit. One for the processing fee and one for the
agency fee. Both can be created the same way via Add Deducted Fees on
the deposit screen.
